Acceptable Use Policy (AUP)

1. Purpose and Scope

HandoffMail is designed strictly for authentic, targeted, and compliant Business-to-Business (B2B) communications. This Acceptable Use Policy defines the standards required of all workspaces and users to preserve sender reputation, protect recipients, and maintain compliance with global anti-spam regulations.

2. Strictly Prohibited Activities

You may not use HandoffMail to:

  • Send unsolicited consumer (B2C) mass email marketing or purchased blast lists.
  • Send deceptive, misleading, or fraudulent communications (including forged headers or spoofed sender names).
  • Harvest email addresses from public web pages without verification or consent.
  • Send email to scraped spam traps, role accounts (e.g., abuse@, postmaster@), or addresses known to have opted out.
  • Bypass or attempt to evade mailbox rate limits, health throttles, or provider suspension mechanisms.
  • Interfere with or disable recipient unsubscribe mechanisms or automated suppression lists.

3. Prohibited Industries and Content Categories

Outreach promoting or relating to any of the following categories is strictly prohibited:

Predatory Financial Services: Payday loans, advance-fee cash loans, credit repair schemes, or unregulated high-risk trading.
Unlicensed Pharmaceuticals: Prescription medication, controlled substances, counterfeit cosmetics, or unregulated health claims.
Illegal Gambling: Online casinos, sports betting syndicates, or lottery exploits.
Deceptive & Malicious Content: Phishing, malware distribution, pirated software keys, or counterfeit credentials.

4. Mandatory Sender Requirements

  • Physical Postal Address: All commercial correspondence must include a valid physical postal address belonging to the sender organization in the email footer.
  • Working Unsubscribe Link: Every outbound sequence must include a functional one-click unsubscribe mechanism. Opt-out requests must be processed immediately.
  • Deliverability Quality Standards: Workspaces must maintain a hard bounce rate below 3.0% and a spam complaint rate below 0.1% (1 in 1,000 sends). Exceeding these thresholds results in automatic mailbox throttling or quarantine.

5. Enforcement and Appeals

Violations of this Policy may result in immediate mailbox quarantine, campaign suspension, or workspace termination without refund. If your workspace has been suspended and you believe it was in error or you have resolved the underlying list quality issue, you may submit a formal appeal via the Compliance Appeals process.
